But I also think it’s important to explain why keeping your scheduled appointment matters — and why policies like cards on file and no-show fees exist.
They are never about punishment.
They’re about respecting time, protecting a small business, and honoring the very real preparation that happens long before you sit in the chair
Your Appointment Starts Before You Walk In
Many people think an appointment begins when they arrive.
In reality, it starts well before that.
Before your service, I may already have spent time:
- Answering texts about what to book
- Reviewing inspiration photos
- Discussing your hair history
- Recommending the right service
- Adjusting timing in the schedule
- Planning formulas or technique for your visit
- Ordering and stocking the color and products needed for appointments that week
That behind-the-scenes work is part of creating a thoughtful experience.
You’re not booking “just an hour in a chair.”
You’re booking preparation, expertise, time, and personalized attention.
As an Independent Stylist, Empty Time Can’t Be Replaced
I’m an independent stylist renting a chair inside a salon.
That means I’m responsible for:
- Rent
- Color and product costs
- Tools and supplies
- Booking software
- Taxes
- Continuing education
- Insurance
- All the behind-the-scenes business expenses that keep things running
When someone no-shows or cancels too late for the spot to be filled, it doesn’t just create a gap in the day.
It creates lost income from time that was specifically reserved.
Unlike a large company, there isn’t a corporate safety net behind the chair.
It’s just me, my business, and the schedule I’ve carefully built.
Why a Card Is Required to Book
A card on file is required to reserve appointments.
That isn’t because I expect problems.
It’s because holding time for clients is a real business commitment, and a card on file helps protect the time reserved.
It also helps reduce no-shows and allows me to continue scheduling in a calm, one-on-one way instead of overbooking to compensate.
I never want to create a rushed, chaotic environment just because boundaries weren’t in place.
Please Note: If you want to pay using a different method on the day of your appointment, you absolutely can!
Why No-Shows Are Charged 50%
If you do not show up for your appointment without communication, 50% of your booked service may be charged.
That fee is not meant to shame you or “teach you a lesson.”
It exists because:
- Your appointment time was reserved specifically for you
- I likely turned away other guests for that time slot
- Product may already have been purchased or prepared
- Consultation time may already have been invested
- That time cannot usually be replaced at the last minute
You also receive appointment reminders and multiple opportunities to communicate if something has changed.
A quick text can make a huge difference.
Communication Changes Everything
Life is real. Emergencies are real.
If something comes up, please reach out as soon as you know.
The more notice you give, the more likely we can:
- Reschedule smoothly
- Offer the spot to another client
- Adjust services if timing is tight
- Keep things stress-free for everyone
I’m human too. I understand more than you may think.
But silence creates the hardest situation for everyone.
